# Online Check-In / Guest Map

Your guests check in online before arrival — legal data, ID documents, and arrival info, collected automatically.

***

## 🪪 What is Online Check-In?

Every booking in OkupAI automatically gets its own **guest check-in page**:

```
https://checkin.okup.ai/guest/{BOOKING_ID}
```

Before arrival, your guests open the link and:

* Enter their **personal data** — names, birth dates, nationalities, addresses
* **Upload ID documents**
* Set their **expected arrival and departure times**
* Leave **bed preferences** or wishes
* Request an **invoice** with their billing details
* See your **stay information** — Wi-Fi, parking, restaurants, and services

Everything they submit lands in the **Online Check-In Data** section of [Booking Details](/okupai-platform/calendar/booking-details.md), ready for legal compliance and guest preparation.

## 🚀 Why it pays off

* **Legal registration, automated** — for Austrian and German properties, check-in data feeds the official guest registration via [Feratel](/okupai-platform/properties-and-platforms/integrations/feratel.md)
* **Invoices without back-and-forth** — guests enter their own billing data
* **Prepared arrivals** — you know arrival times and group details in advance; the ✓ badge in [Live Messaging](/okupai-platform/messaging/live-messaging.md) shows who has completed check-in
* **Trigger for automations** — [message rules](/okupai-platform/messaging/automatic-messages/automatic-message-rules.md) can fire on **Online Check-In completed**, e.g. to send door codes only after the data is in

{% hint style="info" %}
Send the check-in link automatically: create a [message template](/okupai-platform/messaging/automatic-messages/message-templates.md) that goes out right after the booking, and a reminder for guests who haven't completed check-in a few days before arrival.
{% endhint %}

## 🎨 Customizing the guest page

Open **Properties → Online Check-In** in the left menu and select **one unit** — the page content is configured per unit. Each card you fill appears on the guest page; empty cards are hidden automatically.

| Card                    | What guests see                                                    |
| ----------------------- | ------------------------------------------------------------------ |
| **Wi‑Fi Information**   | **Network** and **Password**                                       |
| **Parking Information** | Free text with formatting, images, and videos |
| **Taxi Information** | Your recommended **taxi number** |
| **Restaurants** | Recommended restaurants — name, description, and link |
| **Activities** | Recommended activities — name, description, and link |
| **Head Image** | An image or short video at the top of the check-in page |
| **Additional Services** | Optional **paid add-ons** — icon, service name, price, and details |

Click **Save** per card to publish the changes.

{% hint style="info" %}
Head Image uploads: images are converted to WebP automatically, max **5 MB** for images and **25 MB** for videos (JPG/PNG/WEBP, MP4/WEBM).
{% endhint %}

## 👀 Live Preview

The **Preview** panel on the right shows the guest page exactly as it will appear — switch between **Phone view** and **Computer view** with the **Preview size** toggle.

{% hint style="info" %}
The preview uses a real booking, so it becomes available once the unit has **at least one booking**.
{% endhint %}
