# Billing Models

Configure how each property's client invoice is calculated and which company issues it.

***

## 🧭 Open a Billing Model

1. Go to **Properties → Client Billing**.
2. Click an active property.
3. Open **Billing Model**.
4. Use **Edit** on the card you want to change.
5. Review the values and click **Save**.

Users with view-only access can inspect the settings but cannot edit them.

{% hint style="info" %}
A property may initially inherit the account Billing Model. Saving a change creates a property-specific model without changing other properties.
{% endhint %}

## 💶 Configure the management fee

| Setting                              | What it controls                                           |
| ------------------------------------ | ---------------------------------------------------------- |
| **Calculation basis** | Booking amount used for the percentage calculation |
| **Standard fee** | Management fee percentage applied to each selected booking |
| **Different pricing for long stays** | Enables a separate percentage for longer bookings |
| **Long stay starts at** | Minimum number of nights; the threshold is inclusive |
| **Long stay fee** | Percentage used when the booking reaches the threshold |

The calculation-basis options are:

| Option                                   | Amount used                                                             |
| ---------------------------------------- | ----------------------------------------------------------------------- |
| **Total guest payment** | Complete amount recorded as paid by the guest |
| **Night price only (excludes cleaning)** | Night-price amount without cleaning |
| **Night price + cleaning fee** | Night-price amount plus the booking's cleaning fee |
| **Host payout** | Night price plus cleaning after the recorded host commission adjustment |

The percentage is calculated separately for each selected booking and rounded to cents.

## 🧹 Configure cleaning

Turn on **Charge for cleaning** to add one cleaning line to the monthly invoice.

Set **Cleaning price, net** to the net amount charged per checkout. When the draft is created, the default quantity is the number of eligible checkouts during that billing month. You can adjust the quantity and net price in the draft.

***

## 🎯 Configure a performance bonus

Turn on **Bonus system**, then set:

* **Bonus starts above** — monthly guest-payment threshold
* **Bonus fee** — percentage charged on the amount above that threshold

For example, if selected bookings contain €2,500 in guest payments, the threshold is €2,000, and the bonus fee is 10%, the bonus line is €50 net.

{% hint style="info" %}
The bonus uses the **total guest payment** from selected bookings, even when the standard management fee uses another calculation basis.
{% endhint %}

***

## 🧾 Set VAT and invoice parties

* **VAT rate** applies to the draft's total net amount.
* **Invoice issuer** is the company that issues the client invoice.
* **Invoice recipient** is taken from the financial client assigned to the property.
* **Effective since** shows when the current model version starts.
* **Internal notes** are visible to your team only and are never printed on the invoice.

Update recipient details or property assignments in Property Owners.

{% hint style="warning" %}
Model changes apply from the displayed effective date. They do not rewrite previous invoice revisions or historical invoices. Always review the open draft separately.
{% endhint %}

## 🤖 Control document automation

The monthly process always prepares missing drafts for active Client Billing properties.

Use **Generate invoice automatically** to choose what happens next:

* **On** — the current PDF and XLSX are generated during the monthly process.
* **Off** — the draft waits for you to click **Generate now**.

Generation prepares documents but does not send the invoice from this page.
